A December address-list session is less glamorous than choosing invitation colors, but it can prevent expensive corrections later. Keep one authoritative list and make deliberate changes to it. Multiple versions in messages, notes and spreadsheets are a common source of spelling differences and missing apartment numbers.
Give each household its own row
An invitation quantity is usually a household count, not a headcount. Two people at one address may share an invitation, while roommates may need separate invitations depending on your guest list. Add columns for display names, mailing address, invited guest count and invitation type. Keep optional notes separate from text that will actually be printed.
Verify rather than guess
Ask for the preferred names and current mailing address directly. Do not assume a recently married guest uses a different surname or that a friend still lives at last year's address. Preserve accents and punctuation in names. If your printer needs a particular file format, ask before spending hours styling the spreadsheet.
Track decisions without exposing unnecessary information
A private planning note is not envelope content. Keep sensitive family notes out of files shared for addressing when they are not needed to complete the job. Export only the columns the printer requires, and check that hidden columns have not accidentally been included.
- Include apartment or unit numbers where applicable.
- Separate domestic and international addresses for review.
- Mark households that need a different invitation insert.
- Keep a column for address confirmation and mailing status.
Before printing, inspect several long names and addresses in the actual envelope layout. A tidy spreadsheet does not guarantee that every line fits the finished design. Use those edge cases to set the formatting for the full list.
